We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support a fast-paced entrepreneurial environment. The ideal candidate will assist with research, outreach, administrative tasks, and database management, and should have a keen ability to work independently. A strong grasp of productivity and AI-based tools, as well as top-tier communication skills, is essential.
Key Responsibilities:
--Conduct research on various topics and present findings in clear, actionable formats.
--Handle outreach efforts, including email communications, scheduling, and coordination with external partners.
--Manage administrative tasks such as calendar management, travel arrangements, and meeting preparation.
--Maintain and organize databases using Google Sheets, Airtable, Notion, and other tools.
--Utilize AI-based tools to enhance productivity, automate processes, and assist with document drafting.
--Support in creating and managing reports, presentations, and other documents.
--Coordinate projects and tasks, ensuring timely delivery and clear communication across stakeholders.
--Provide assistance with email management, including drafting responses and managing follow-ups.
Requirements:
--Proficiency in Mac operating systems, Google Sheets, Airtable, Notion, and email management.
--Familiarity with AI-based tools for productivity and automation.
--Excellent organizational skills and ability to manage multiple tasks simultaneously.
--Strong written and verbal communication skills.
--Ability to work independently and problem-solve proactively.
--High attention to detail and ability to prioritize efficiently.
--Experience with research and outreach in a professional setting.
--Flexibility and adaptability in a dynamic, fast-paced work environment.
Preferred Qualifications:
--Experience in a similar role supporting executives or entrepreneurs.
--Knowledge of marketing, project management, or business development.
--Familiarity with other productivity tools (e.g., Slack, Trello) is a plus.
Work From Home Set-Up & Work Schedule. Since this role is 100% remote, we require:
--Stable internet service is a must. The primary internet should be cabled wired on either DSL or FIBER connection with a download/ upload minimum speed of 10 Mbps.
--Should have a backup internet solution - LTE Mobile Data or Pocket WIFI
--A desktop Computer or Laptop preferably with Intel i3 or equivalent processor, Windows 7 and above or MAC OSX OS, 8GB RAM
--A good headset with an extended microphone and noise cancellation is preferred Good external or integrated webcam
