Position Summary

The role involves providing administrative support to Account Managers and their teams, aiding in the expansion and development of the Account Managers' client portfolios. This is achieved through the adoption and application of the accounting department's service delivery and engagement management strategies for all client proposals and engagements, following the firm's established policies, procedures, and platforms. It also includes building and maintaining internal and client relationships to ensure customer satisfaction.

Responsibilities

Customer & Stakeholders

  • Frontline support for all client interactions; ensure responsive, efficient, friendly, helpful phone reception and physical reception for client visitors.
  • Maintain high-quality standards of communication and consistency of branding for all external communication.
  • Assist with client appointments, meeting rooms, setting up conference calls, etc.
  • Provide ad hoc administrative support to Account Managers (i.e. meeting coordination, taking meeting minutes, diary management, proof-reading and preparing presentations)
  • Provide admin support to accountants in your team as required. Assist Senior CSC to ensure all admin for the team is completed.
  • Format transcripts from recorded client meetings into meeting minutes, actions, calendar entries etc., or draft proposals and/or engagement letters.

Process

  • Assist Senior CSC with WIP clean-up and billing.
  • Translate engagement scope into actions, meetings, etc. for Account Managers.
  • Maintain accurate and timely recording of workflow in Practice Management software from setting up a jobs & task (budget, WF Assignee etc.)
  • Liases with the IRD on behalf of the client for any client detail updates.
  • Assist the Senior CSC and accounting team with IRD weekly letters/ notifications.
  • Support your team with scanning and filing requirements.
  • Provide support with the annual account completion process.
  • Support client onboarding & offboarding processes by entering new client information within the internal database and maintaining/updating records going forward.
  • Proactively monitor all outward correspondence for accuracy and compliance with internal procedures.

Requirements

  • 5+ Years experience in administration, with experience at an Accounting Practice advantageous.
  • Degree, Certificate, or Qualification in Accounting, Administration, or a similar field.
  • Experience with Microsoft Excel, NetSuite, or other accounting ERP.
  • Exposure to CRM and other Accounting Practice Management software including APS
  • Possess a high level of attention to detail and accuracy.
  • Organizational and time management skills.
  • Excellent planning, problem-solving, and organizational skills.
  • Excellent phone, email, and instant messaging communication skills.
  • High level of positive energy and enthusiasm to maintain and grow the culture within UBTA.
  • Flexible 'hands-on' and 'whatever it takes' approach.
  • High degree of motivation to self-motivate and drive success in the role and as a team.
