Position Overview

The position of Executive Assistant I provides executive administrative support to an executive leader (VP). The incumbent will regularly plan and manage the day-to-day tasks at the direction of their assigned executive leader(s). The incumbent will exude a strong work ethic, with a focus on accuracy and timeliness. The Executive Assistant I will report performed additional duties assigned by his/her assigned Insight Executive.

What you’ll do at Insight

  • Manage the senior executive leader's calendar and schedule appointments and meetings, based on availability and preference of Executive.
  • Coordinate domestic and international travel arrangements, including transportation and lodging.
  • Streamline and manage executive expense reporting processes to ensure accuracy and timeliness.
  • Act as a liaison between the executive leader and other internal and external stakeholders. Coordinate executive’s schedule and/or makes appointments.
  • Prepare reports, presentations, and other materials as needed.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepares facilities, record and transcribe meeting minutes.
  • Assist with meeting set up, including video conferencing and audio.
  • Answers and screens telephone calls. Arranges conference calls.
  • Manage and maintain the executive leader's filing system, both hard copy and electronic
  • Manage and route incoming and outgoing mail. Locate and attach appropriate file(s) to correspondence to be answered by Executive.
  • Welcome scheduled visitors and direct them to appropriate area or person.
  • Conducts research, compiles, and produces statistical reports.
  • Handle confidential information with discretion and professionalism.
  • Ensure that all administrative tasks are completed accurately and on time.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Performs general office duties and miscellaneous tasks as assigned.
  • If applicable, responsible for office support activities.

What you’ll need to join Insight

  • Minimum of 4-6 years of related experience and/or training; or an equivalent combination of education and experience.
  • Strong proficiency in Microsoft Office Suite (particularly Outlook, Word, Excel, and PowerPoint).
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and prioritize tasks effectively.
  • Attention to detail and accuracy.
  • Experience in a fast-paced work environment.
  • Strong discretion and integrity.
  • Ability to effectively present information and respond to questions and/or issues from suppliers, management, and other teammates.
  • Previous SAP experience a plus.
  • Amenable to work in a night shift sched and in Pasig for a hybrid set-up.
