Job Overview:

We are seeking a highly organized and proactive Administrative Assistant to support a real estate investment and property management company. The role focuses primarily on document management, communication, follow-ups, and invoice management. You will help streamline operations by managing important day-to-day activities, ensuring that tasks such as tenant communication, document organization, and invoice processing are handled efficiently.

Key Responsibilities:

  • Document Management: Organize, save, and maintain documents using tools like Dropbox
  • Follow-ups and Communication: Coordinate with vendors, tenants, and other contacts to ensure timely completion of tasks and outstanding issues
  • Phone and Email Communication: Make calls on behalf of the management team, including tenant communications and answering phone calls
  • Tenant Relations: Respond to tenant inquiries and manage basic communications
  • Invoice Management: Manage, review, and code invoices for processing and approval
  • Availability: Be reachable by phone or email during designated work hours. Occasional video calls may be required for coordination


Requirements

  • Proven experience in administrative support, preferably within real estate or property management
  • Strong communication skills, including managing phone calls and following up on behalf of management
  • Comfortable participating in occasional video calls for team meetings and updates
  • Effective at managing tenant communications
  • Proficient in project management or office tools such as Microsoft Office, Google Workspace, or property management software
  • Experience with tools like Dropbox, Yardi, and AppFolio is a plus
  • Experience in reviewing, coding, and managing invoices is highly desirable
  • Highly organized with strong attention to detail
