What We’re Looking For:
We are seeking a meticulous and dedicated Payroll Specialist to oversee our client’s payroll operations. This role demands accuracy and compliance in managing payroll processes for employees across multiple locations and jurisdictions.
Responsibilities:
- Timekeeping: Rigorously review and validate timekeeping data to ensure accuracy, primarily focusing on employees with fixed salaries.
- Data Entry: Maintain payroll records by updating information regarding changes in employee status, salary adjustments, and deductions.
- Employee Inquiries: Respond promptly and accurately to employee inquiries regarding payroll issues, deductions, and discrepancies in paychecks.
- Payroll Processing: Execute payroll operations semi-monthly for US-based and Canadian EOR employees, and monthly for Indian EOR employees, ensuring timely and accurate payment.
- Payroll Compliance: Ensure compliance with federal, state, and local tax laws, and adhere to company policies regarding payroll practices.
- Payroll Taxes: Manage the preparation and filing of quarterly and year-end payroll tax forms, coordinating closely with Rippling for most filings and directly handling states that require special attention.
- Benefits Coordination: Liaise with the HR department to ensure accurate and timely processing of employee benefits related to payroll, such as health insurance deductions, retirement plans, and other benefits.
- Payroll Audits: Conduct regular payroll audits to ensure all payroll transactions comply with legal and company policies.
- Record Maintenance: Keep thorough records of past payrolls and tax filings for potential audits and inquiries.
- Reporting: Generate reports for management regarding payroll expenditure, employee leave balances, and other payroll-related metrics.
Requirements:
- Strong proficiency with payroll software, preferably Rippling, and extensive experience in payroll administration.
- Deep understanding of federal, state, and international payroll and tax regulations.
- High level of accuracy in processing payroll and financial data.
- Skilled at quickly identifying and resolving payroll-related issues.
- Strong ability to communicate clearly and effectively with both employees and management.
- Excellent organizational skills, with the ability to manage multiple payroll schedules and deadlines efficiently.
- Fully fluent in English
- Ability to commit long-term and full-time
- Ability to work U.S. business hours (Pacific Time, Central Time, or Eastern Time)
