Eagle Financial Group is looking for a reliable and detail-oriented General Virtual Assistant to support our team with daily operations, administrative tasks, and client communication. This role is essential to help maintain smooth workflow processes, manage information accurately, and ensure consistent client follow-ups. We’re seeking someone proactive, organized, and adaptable to meet our company’s standards and help drive our client service goals.
Position: General Virtual Assistant (Part-time)
Objectives
To support the operations team with daily administrative and project-related tasks.
To streamline communication with clients and staff.
To help maintain client records, financial data, and operational efficiency.
Responsibilities
1. Administrative Support
Manage calendar schedules, book appointments, and organize meetings.
Prepare and distribute internal reports and meeting notes.
Create and maintain files in Google Drive or other document storage platforms.
Perform data entry for financial and client records in software such as QuickBooks, Xero, or Wealthbox.
2. Client Communication
Respond to client inquiries via email , chat, or phone in a professional and timely manner.
Schedule client consultations and follow-ups, and send out reminders as needed.
Draft, format, and proofread documents such as email s, client letters, and proposals.
3. Task and Project Management
Monitor and update task lists in project management tools (e.g., ClickUp, Asana).
Track project milestones, deadlines, and status updates, and report progress to team members.
Ensure timely completion of client deliverables and update team members on status.
4. Bookkeeping and Document Management
Prepare basic financial reports under the guidance of senior team members.
Organize and archive essential financial documents, client files, and compliance records.
5. CRM Management
Update and maintain client information in the CRM
Input new client data, update existing records, and ensure completeness and accuracy.
Support the team in managing client onboarding and offboarding processes.
6. Research and Special Projects
Conduct research on industry trends, tools, and resources to support company goals.
Assist in preparing presentation materials and support special projects as required.
Required Skills and Qualifications
Proven experience in administrative or virtual assistant roles.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and familiarity with project management software (e.g., ClickUp, Asana).
Basic understanding of bookkeeping and accounting software (e.g., QuickBooks, Xero) is a plus.
Detail-oriented, organized, and able to prioritize tasks effectively.
Ability to work independently with minimal supervision and meet deadlines.
This role reports directly to the Operations Manager. Hours may require availability during specific times to assist with client calls or internal meetings.
