About the Role

An established immigration law office is seeking a reliable and detail-oriented Virtual Assistant to join our team. This full-time role involves supporting our legal team with data entry, client communication, and assisting with the completion of immigration-related forms and documents. The ideal candidate will have excellent organizational skills, a customer-focused mindset, and the ability to handle sensitive information with the utmost confidentiality.

Key Responsibilities

Data Entry & Document Preparation:

Collect, verify, and organize data and documents from clients for immigration applications.
Accurately complete immigration forms (PDF and online) using client-provided information.
Ensure all data and documentation meet legal and regulatory standards.
Maintain and update client records in internal case management systems.

Customer Service:

Act as a point of contact for clients, providing guidance on document requirements and submission processes.
Respond promptly and professionally to client inquiries via phone, email , and chat.
Follow up with clients to ensure timely submission of required documents.
Address client concerns and escalate complex issues to the appropriate tea m me mbers.

Administrative Support:

Monitor case progress and provide regular updates to clients and the legal team.
Generate reports on completed and pending client tasks.
Manage deadlines to ensure timely submission of applications.
Perform other administrative tasks as needed to support the legal team.

Qualifications and Skills

Previous experience as a Virtual Assistant, Legal Assistant, or in a similar role.
Strong proficiency in word processing and email .
Experience with PDF editing tools (e.g., Adobe Acrobat) and online form platforms.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Ability to multitask and prioritize in a remote work setting.
Strong organizational skills and confidentiality when handling sensitive client information.
Reliable internet connection and a quiet, dedicated workspace.

Requirements

Availability to work full-time from 8:00 AM to 4:00 PM PST.
High school diploma or equivalent; additional qualifications in legal studies, office administration, or customer service are an advantage.
Prior experience working in a law office or with legal documentation is a plus.
