We are looking for highly organized Virtual Executive Assistants to support higher management with administrative and operational tasks.

Mbs is an ecommerce company based out of the United States, we have 4 locations in Tampa, FL. Chicago, IL. Denver, CO and Las Vegas, NV. All of the locations are just fulfillment centers where we ship packages, but Tampa is our HQ with our full team and offices. With these 4 locations we are able to reach 90% of the United States in 2 day transit shipping times. Responsibilities:
Administrative Support
Provide comprehensive assistance ensuring smooth day-to-day operations
Organize and manage the Google calendar, including scheduling meetings, settling reminders, and coordinating appointments.
Prepare and edit documents, presentations and reports.
Conducts Marketing Research and presents findings in well-structured formats.
Communication Management
Handle inbound and outbound calls with professionalism and efficiency.
Screen and prioritize and respond to email s
Meeting Coordination
Organize meetings, prepare agendas, and send reminders to other staff members.
Take minutes during meetings and distribute them promptly.
Travel Arrangements
Plan and book travel, including flights, accommodation and itineraries.
Ensure all travel details are well-organized and communicated effectively.
Data Management
Perform data entry task and maintain accurate records
Keep digital files and folders organized and communicated effectively.
Qualifications:
With at least 2 years and more experience as an Executive Assistant, Virtual Assistant, preferably supporting higher management.
Expertise in Google Workspace (Calendar, Docs, Sheets, etc.)
Expertise with project management tools (e.g., Trello)
Strong organizational, communication, and time management skills,
High attention to detail and confidentiality
Ability to handle confidential information with discretion.
Knowledgeable with CRM systems.
