Job Summary: ECAPro Outsourcing Corp. is seeking a highly organized and proactive Facilities and Administrative Officer to support the management and maintenance of our facilities and administrative operations. The ideal candidate will ensure that our work environment is safe, efficient, and conducive to productivity. Key Responsibilities:

Procurement Management:

  • Prepare and process procurement requests for office supplies and equipment.
  • Maintain accurate records of all procurement activities.

Inventory Management:

  • Prepare and maintain detailed inventory reports.
  • Monitor stock levels and reorder supplies as necessary to ensure continuous availability.

Office Supplies Maintenance:

  • Ensure that office supplies are well-stocked and readily available.
  • Manage the distribution of office supplies to staff members.

Expense Reporting:

  • Prepare and submit expense reports for all purchases and procurement activities.
  • Ensure that all expenses are accurately documented and comply with company policies.

General Administrative Support:

  • Provide administrative support to the management team and other departments as needed.
  • Handle the processing of permits and other regulatory requirements.
  • Assist in overseeing the daily operations of the facilities, including maintenance, security, and janitorial services.
  • Support the development and implementation of policies and procedures to ensure efficient and safe operations.
  • Ensure compliance with health and safety regulations.
  • Conduct regular inspections and audits of facilities to identify and address any issues.
  • Maintain accurate records of facility operations and administrative activities.
  • Assist in organizing company events, meetings, and conferences.

Qualifications:

  • Bachelor's degree in Business Administration, Facilities Management, or any related field.
  • Minimum 1-2 years of proven experience in facilities management or administrative roles.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge in Microsoft Office Suite.
  • Knowledge of health and safety regulations.
