Responsibilities
- Manage and maintain the director’s calendar, scheduling inspections, meetings, and personal appointments
- Coordinate with clients and tenants to arrange access for building inspections
- Extract data from Snagmaster software and create detailed inspection reports using provided templates
- Handle client communication via email and phone using a remote phone system (Loop)
- Process invoices using Xero accounting software
- Send confirmation emails and reminders for upcoming inspections
- Assist with urgent document reviews by scheduling time in the director’s calendar
Requirements :
- Excellent organizational and time management skills
- Strong written and verbal communication skills in English
- Proficiency in Microsoft Office suite, particularly Excel
- Ability to quickly learn and adapt to new software systems (e.g., Snagmaster, Xero)
- Detail-oriented with a high level of accuracy in data entry and report creation
- Proactive problem-solving skills and ability to work independently
- Experience with calendar management and scheduling
- Comfortable using AI tools like ChatGPT for task assistance
- 5 hours per day, 5 days a week (25 hours total)
- Anywhere between 8 AM to 5 PM AEST
- Remote position with consistent daily coverage
- Directly report to the company director (Dave)
- Collaborate with a small team of 2-3 consultants
- Handle confidential information with discretion and professionalism
- Undergo 2-3 weeks of initial training, with an additional week for learning the reporting system
