Duties and Responsibilities:

  • Provide executive-level administrative support to the CEO, including scheduling appointments, managing calendars, managing emails, and making travel arrangements.
  • Oversee the day-to-day operations of our newly established site, ensuring that all administrative tasks are completed efficiently and effectively.
  • Act as a liaison for the company in processing permits and licenses, including but not limited to: coordinating with government agencies and regulatory bodies, preparing and submitting permit applications and supporting documents, & ensuring compliance with relevant laws, regulations and industry standards.
  • Manage the company’s budget, including tracking expenses, managing invoices, and ensuring that all financial transactions are accurately recorded.
  • Coordinate and arrange meetings, conferences, and other events, including preparing agendas, taking minutes, and distributing materials.
  • Develop and maintain relationships with external partners, government officials, regulatory bodies, vendors, suppliers and other stakeholders.
  • Manage confidential and sensitive information, including personnel records, financial data and other confidential documents.

Requirements:

  • We are open to Cebu-based candidates with little to no experience who are eager to learn and grow with our team. Background in Executive Assistance/Office Administration is a plus.
  • Excellent communication, organizational, and time management skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong analytical and problem-solving skills, with the ability to think critically and make sound judgements.
  • Proficient in Microsoft Office, Google Suite and other productivity software.

Nice to Haves:

Familiarity with permit processing and regulatory compliance.

Background in working with government agencies or regulated industries.
