Job Description
We are looking for an experienced Property Management Assistant to provide essential support in property maintenance coordination, tenant relations, property maintenance coordination, and administrative tasks, ensuring smooth communication between tenants, vendors, and property management.
Responsibilities
- Maintain regular communication with 50 tenants across 30 properties, ensuring each tenant is contacted at least once every 4-6 weeks.
- Act as the primary point of contact for tenants, addressing concerns related to maintenance, property issues, and general inquiries.
- Document tenant-reported issues and compile maintenance requests into detailed reports.
- Follow up on open maintenance tickets, track progress with vendors, and provide tenants with updates.
- Communicate with contractors and vendors, ensuring timely service and addressing any last-minute changes.
- Perform data entry tasks, maintaining an up-to-date directory of tenant contact information and print or email summarized legal documents as needed.
- Use AI tools like ChatGPT to summarize legal cases, extracting key talking points for clients.
- Escalate urgent or unresolved tenant issues to ensure proper action is taken.
Requirements
- College educated
- Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
- Must be comfortable with using Hubstaff, a time-tracking application
- Professional-level English (written and verbal/voice)
- Experience in property management or vendor coordination.
- Detail-oriented with the ability to manage multiple tasks efficiently
- Proactive and intuitive in problem-solving.
- Experience in using Google Drive, Microsoft Office, and Google Sheets.
- Familiarity with AI tools like ChatGPT for summarizing legal cases.
- Friendly and relationship-focused approach to tenant and vendor interactions.
- Computer or laptop with access to the internet (min speed of 25 Mbps)
Hardware Requirements
- At least a 720p HD Webcam.
- A noise-canceling headset.
- At least a 25mbps primary internet connection.
- A backup laptop, backup internet connection device, and backup power supply in case of power outage and emergencies.
- Minimum recommendation for your main computer: Intel Core i5 or equivalent with 8 GB RAM or higher
- Minimum recommended for your backup computer: Intel Core i3, 4 GB RAM
Compensation and Benefits
- Earn a competitive hourly rate, which can be up to Php 42,500 per month, based on experience.
