Our mission is to help clients navigate platform restrictions and operate seamlessly while scaling our business to new heights.
Role Overview: We're looking for a Business Operations Manager to take ownership of our systems, workflows, and processes. This role is ideal for someone skilled at setting up CRMs like Pipedrive, HubSpot or other tools, implementing task management systems like Asana or Monday.com, creating clear SOPs using tools like Notion, Loom, and Google Sheets, and leveraging AI tools like ChatGPT to drive efficiency and productivity.

This role is ideal for someone skilled at setting up CRMs like Pipedrive, HubSpot or other tools, implementing task management systems like Asana or Monday.com, creating clear SOPs using tools like Notion, Loom, and Google Sheets, and leveraging AI tools like ChatGPT to drive efficiency and productivity.
Key Responsibilities:
- Set up and manage CRMs like Pipedrive or HubSpot to track and follow up on leads and clients
- Ensure all incoming leads and clients receive a response within 2-3 hours—the faster, the better
- Properly qualify leads to understand their issues and determine potential upsell opportunities
- Organize all leads and clients in the CRM, ensuring daily follow-ups for unresponsive contacts
- Track payments and referral sources to ensure commissions are accurately recorded
- Monitor service providers' progress, follow up daily, and keep clients updated on delivery status
- Centralize communication from multiple platforms (WhatsApp, Telegram, multiple numbers) into one system
- Maintain a structured database of partners and their services, ensuring new team members quickly understand who does what
- Request quotes from service providers efficiently to streamline service delivery
- Develop and maintain clear Standard Operating Procedures (SOPs) for all processes
- Train new hires, especially in customer service, so they can quickly become operational
- Leveraging AI tools like ChatGPT to drive efficiency and productivity
- Proven experience in business operations, lead management, or CRM implementation
- Strong organizational and process-driven mindset, with the ability to create and implement SOPs
- Experience in digital marketing, ad account management, or related industries is a plus
- Proficiency in CRM tools like Pipedrive, HubSpot, or similar is a plus
- Experience with task management tools such as Asana or Monday.com is a plus
- Excellent communication and problem-solving skills
- Ability to work independently, take initiative, and drive results
