We are seeking a highly organized and proactive Executive Assistant who will work directly with our CEO to ensure the efficient functioning of the executive office and contribute to the overall efficiency of the organization. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of providing personalized secretarial and administrative support.
Responsibilities:
- Administrative Support: Manage CEO’s schedules and meetings including logistical and travel requirements of the CEO or his external or regional visitors. Prepare agendas, take minutes, and maintain records of meetings.
- Communication: POC for inquiries and requests for information regarding the CEO’s schedule. Draft and edit correspondence, communications, presentations, and other documents. Also, manage and maintain contacts, files, and records related to the Executive Office. Ensure appropriate information dissemination as necessary within the company.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders. Liaise with other executives, departments, and external contacts on behalf of the executive. Ensure issues, concerns, or documents for approval or resolution are given appropriate priority.
- Assist in the planning and coordination of special projects and initiatives.
- Follow up on action items from meetings and projects as advised and needed
- Anticipate needs and potential issues and proactively address them.
- Resolve administrative problems independently or with minimal supervision.
- Always represent the executive and the organization in a professional and positive manner.
Requirements:
- Minimum 3 years particularly in supporting senior management executives.
- Proficiency in office software (e.g., Microsoft Office Suite) and other relevant applications.
- Ability to interact with people of all levels in the organization.
- Highly organized and can multi-task with little supervision
- Detail oriented with strong organizational and documentation skills.
- Flexible with demonstrated ability to handle a diverse and active team.
- Excellent command of written and spoken English.
