Job Description:

We are looking for a detail-oriented and highly organized Accounting / Administrative Assistant to support both our administrative and accounting teams. This role is essential to help ensure smooth day-to-day operations, maintain accurate financial records, and handle various administrative tasks. The ideal candidate should have a basic understanding of accounting principles, strong organizational skills, and the ability to handle a variety of tasks simultaneously.

Key Responsibilities:

Administrative Support:

  • Manage and organize schedules, appointments, and meetings for senior management.
  • Prepare and process internal and external correspondence (emails, letters, and memos).
  • Maintain and update office files, records, and databases in an organized manner.
  • Assist in handling incoming calls, emails, and other communication channels.
  • Perform data entry and maintain office documentation, ensuring accuracy and confidentiality.
  • Assist with inventory management and ordering office supplies.

Accounting Support:

  • Assist in maintaining financial records and updating ledgers, ensuring all transactions are accurately recorded.
  • Prepare and process invoices, receipts, and payment processing.
  • Assist with reconciling bank statements and credit card transactions.
  • Help track and report expenses, keeping the finance team updated on financial activities.
  • Prepare monthly, quarterly, and annual financial reports as required.
  • Assist with payroll processing and maintaining employee financial records.

General Support:

  • Coordinate with vendors and suppliers for office-related needs.
  • Assist in preparing reports, presentations, and spreadsheets.
  • Help with filing and organizing both physical and digital records.
  • Perform other administrative tasks as assigned to support the smooth operation of the office.

Qualifications:

  • Experience: Minimum of 1-2 years of administrative or accounting support experience.
  • Knowledge: Basic understanding of accounting principles and financial reporting.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Experience with accounting software (e.g., QuickBooks, Xero) is a plus.
  • Organizational Skills: Excellent time management, attention to detail, and ability to multitask.
  • Communication Skills: Strong written and verbal communication skills.
  • Problem Solving: Ability to handle multiple tasks efficiently, troubleshoot problems, and work under tight deadlines.

Preferred:

  • Associate degree in Accounting, Finance, or related field.
  • Experience with office management or administrative duties in a similar industry.
