Key Responsibilities:

  • Manage and coordinate active calendars for up to six high-level executives simultaneously.
  • Schedule, confirm, and decline meetings, ensuring rooms are booked and attendees are added to calendar invites.
  • Monitor meeting attendance daily, ensuring required priorities are addressed.
  • Provide context and relevant materials for meetings when applicable.
  • Conduct regular calendar audits and optimize scheduling to enhance productivity.
  • Offer consultation and recommendations on effective calendar execution.
  • Build and maintain strong relationships with executives to better understand and meet their administrative needs.
  • Collaborate with other Administrative Business Coordinators (ABCs), Administrative Business Partners (ABPs), and cross-functional partners to schedule complex meetings.
  • Coordinate domestic and international travel arrangements.
  • Prepare and submit expense reports via Concur.

Qualifications:

  • 2-4 years of experience in administrative roles supporting multiple executives.
  • Bachelor's degree or equivalent experience.
  • Exceptional interpersonal, customer service, and communication skills.
  • Proven ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Google Workspace (Gmail, Google Calendar, Google Drive, etc.).
  • Strong organizational skills and keen attention to detail.
