Key Responsibilities:
- Manage and coordinate active calendars for up to six high-level executives simultaneously.
- Schedule, confirm, and decline meetings, ensuring rooms are booked and attendees are added to calendar invites.
- Monitor meeting attendance daily, ensuring required priorities are addressed.
- Provide context and relevant materials for meetings when applicable.
- Conduct regular calendar audits and optimize scheduling to enhance productivity.
- Offer consultation and recommendations on effective calendar execution.
- Build and maintain strong relationships with executives to better understand and meet their administrative needs.
- Collaborate with other Administrative Business Coordinators (ABCs), Administrative Business Partners (ABPs), and cross-functional partners to schedule complex meetings.
- Coordinate domestic and international travel arrangements.
- Prepare and submit expense reports via Concur.
Qualifications:
- 2-4 years of experience in administrative roles supporting multiple executives.
- Bachelor's degree or equivalent experience.
- Exceptional interpersonal, customer service, and communication skills.
- Proven ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficiency in Google Workspace (Gmail, Google Calendar, Google Drive, etc.).
- Strong organizational skills and keen attention to detail.
