The Executive Assistant will be responsible for providing comprehensive support to the C-Level in different facets and capacities. This role will also oversee and provide assistance in managing the organization’s operational activities. The Executive Assistant role is a dynamic and critical position that requires a high level of professionalism and confidentiality.

Job Qualifications and Skills Requirements

  • Maintain and refine internal processes that support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Facilitate professional and personal scheduling for C-Level, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
  • Manage, coordinate, and arrange senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination
  • Plan and orchestrate work to ensure the senior executives priorities are met, organizational goals are achieved, and best practices are upheld
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion and due diligence, when interfacing with the business
  • Relevant experience as an Executive Assistant for Executive Management preferably foreign nationals
  • Experience gained from tech, shared services, or service-oriented organizations is highly desirable
  • Meticulous and highly attentive to details
  • Possess general knowledge about business compliance processes (e.g. business permits)
  • Able to search for, locate, organize, extract, or present information
  • Able to communicate at all levels with a high level of professional proficiency
  • Excellent presentation skills
  • Excellent level of organizational skills
  • Highly analytical with good problem-solving skills
  • Critical thinker and ability to think outside the box while exercising good judgment
  • Able to maintain a high level of integrity and discretion in handling confidential matters
  • Agile and able to manage duties being assigned with, a high degree of prioritization

  • Amenable to travel as needed
