Virtual Assistant (Customer Service & Sales Support)

About The Client

We are a growing moving and logistics company dedicated to providing seamless and stress-free relocation services. Our team values customer satisfaction, operational efficiency, and strategic sales growth. We are looking for a Virtual Assistant to join our team and contribute to both our customer service operations and sales support efforts.

Job Responsibilities

  • Customer Service & Claims Handling
    • Serve as the first point of contact for customers via phone, email, and chat.
    • Handle customer inquiries, schedule moves, and provide detailed information on services.
    • Assist customers with claims, issue resolution, and post-move follow-ups.
    • Ensure high customer satisfaction by providing professional and empathetic communication.
  • Move Coordination & Data Entry
    • Act as a move coordinator, managing logistics and ensuring smooth scheduling.
    • Update and maintain customer records in CRM (HubSpot or other platforms).
    • Track and organize data related to moving jobs, claims, and service requests.
    • Generate reports and metrics for operational tracking.
  • Sales & Lead Generation Support
    • Handle overflow sales inquiries and provide information on service packages.
    • Assist in lead generation and follow-up efforts.
    • Support the marketing team with data entry and analysis for customer acquisition campaigns.
    • Engage in persuasive customer interactions to upsell or cross-sell services.
  • Administrative Support
    • Assist with organizing schedules, documents, and reports.
    • Work with internal teams to ensure smooth coordination of moving services.
    • Provide support in monitoring key performance indicators (KPIs) related to customer service and sales.
Qualifications

  • Experience: At least 2–3 years of experience in customer service, sales support, or a related field.
  • Industry Knowledge: Prior experience in logistics, moving services, or a related field is preferred but not required.
  • Technical Skills: Proficiency in CRM software (HubSpot preferred), data entry, and report generation.
  • Sales Acumen: Ability to handle sales-related calls, engage in lead generation, and support marketing efforts.
  • Communication Skills: Strong English communication skills with a neutral or near-neutral accent.
  • Problem-Solving: Ability to handle complaints, claims, and customer concerns with professionalism.
  • Adaptability: Capable of learning new processes quickly and managing multiple tasks efficiently.

Work Schedule & Requirements

  • Availability: Full-time, flexible to work during U.S. business hours.
  • Equipment: Reliable internet connection, noise-canceling headset, and a professional work environment.
  • Preferred Experience: Call center, outbound sales, virtual assistant work, or experience with a moving/logistics company.
