Events Coordinator & Venue Manager
The Events Coordinator & Venue Manager is responsible for overseeing the day-to-day operations of a venue, ensuring that all events held within the venue are executed seamlessly. This role combines the responsibilities of coordinating events, managing venue logistics, and providing excellent customer service to clients and guests. The ideal candidate will have strong organizational skills, attention to detail, and a passion for delivering exceptional experiences.

Key Responsibilities:
1. Event Coordination:
- Plan, organize, and coordinate events, including weddings, corporate events, social gatherings, conferences, and private functions.
- Liaise with clients to understand event needs, timelines, and expectations.
- Develop detailed event schedules, ensuring all timelines are met and the venue is set up according to client specifications.
- Manage event logistics such as catering, AV equipment, decor, entertainment, and transportation.
- Coordinate with vendors, suppliers, and service providers to ensure smooth execution of events.
- Oversee event setup, execution, and breakdown, ensuring all elements are on time and meet quality standards.
2. Venue Management:
- Oversee the daily operations of the venue, ensuring it is maintained, clean, and fully operational.
- Manage venue bookings, including handling inquiries, confirming availability, and processing contracts.
- Ensure compliance with all health, safety, and licensing regulations for the venue and events.
- Maintain inventory of venue equipment, furniture, and supplies; ensure timely restocking as needed.
- Develop and implement policies and procedures for venue usage, event coordination, and guest services.
- Manage staff for events, including supervising event setup, tear-down, and service staff.
3. Customer Service:
- Provide exceptional customer service by addressing client questions, concerns, and requests promptly and professionally.
- Act as the main point of contact for clients before, during, and after events.
- Ensure clients' needs are met to ensure satisfaction, and gather feedback to improve future services.
- Handle any issues that arise during events, resolving them quickly and effectively.
4. Marketing & Promotion:
- Assist in the promotion of the venue and events through social media, website updates, and event listings.
- Help develop and implement strategies to attract new clients and increase venue bookings.
5. Financial Management:
- Assist in preparing budgets for events, ensuring that all costs remain within budgetary constraints.
- Ensure that billing and payment processes for events are accurate and timely.
- Track expenses for venue operations and provide reports as needed.
Qualifications:
- Proven experience as an Events Coordinator, Venue Manager, or similar role in the hospitality or events industry.
- Strong project management skills, with the ability to coordinate multiple tasks simultaneously.
- Excellent communication and interpersonal skills to interact with clients, vendors, and staff.
- Ability to work under pressure and resolve conflicts in a professional and efficient manner.
- Knowledge of venue operations, event logistics, and event management software.
- Flexibility to work evenings, weekends, and holidays as needed.
