Your Role

As An Administrative Sales Assistant, You Are Responsible For

  • Sale and Purchase Agreements: Draft and enter sale and purchase agreements in REINZ EForms and Vault, ensuring all signed agreements are promptly recorded.
  • Correspondence & Communication: Prepare and send correspondence to solicitors and clients through various channels. Handle marketing material distribution and liaison with sales teams regarding campaigns.
  • Marketing Support: Maintain pricing in Vault and Google Drive, manage marketing campaigns, prepare promotional materials, and post updates on social media.
  • Invoicing & Payments: Invoice vendors and salespeople for marketing, manage commission payments, track and process financial transactions in Xero, and reconcile accounts.
  • Sales Tracking & Reporting: Monitor agent performance, produce financial reports, and track sales to ensure timely settlements.
  • Financial & Accounting Tasks: Manage accounts payable/receivable, prepare financial reports, month-end processes, and assist with audits and tax forms.
  • File Management & Documentation: Maintain filing systems for completed agreements, invoices, and other important documents, and ensure accurate records in Vault and Xero.
  • Marketing Campaigns & Media: Coordinate with CampaignTrack to organize and prepare marketing materials for property listings, including print and digital media.
  • Administrative Support: Assist with general office management, track files, prepare marketing calendars, and support new salespeople with necessary supplies (e.g., business cards, signage).

Non-negotiable requirements:

  • Atleast 2 years or more experience in working administratively for an New Zealand Real Estate or any industry
  • Proficient in using Vault
  • Proficient in using Google Applications: Google Drive
  • Excellent communication skills both written and verbal
  • Previous experience working in creatives, basic accounting is a plus
  • Canva experience is a plus
  • High accuracy and attention to details
  • High organizational skills
  • Ability to acquire new skills/softwares and willing to be trained
  • Driven, focused, and goal oriented
  • Time management skills, able to adhere on time constraint deadline
  • Ability to adapt on the culture/environment of the client
