Home-Based DCX Executive Assistant to the VP Marketing
Job Description:
The DCX Executive Assistant to the VP Marketing will be a key player in the Marketing team, supporting the VP Marketing directly, and also getting involved in many fun projects that we collaborate on as a team! With a focus on multitasking and attention to detail, you’ll be supporting the VP's day-to-day by providing executive-level administrative support and ensuring smooth operations within the Marketing team. WHAT YOU WILL DO
- Calendar management: Organizing and managing the VP Marketing’s schedule, including setting up meetings and appointments, additionally supporting with Marketing team events (virtual).
- Email management: Supporting with the management of the VP Marketing’s email inbox, prioritizing emails and categorizing them by topic. Creating folders, filters and rules. This includes email correspondence with employees, customers and other contacts.
- Meeting coordination: Scheduling, preparing for, and attending meetings. This includes creating and distributing agendas, taking minutes, and following up on action items to ensure deadlines are met. This also includes EOS-specific tasks, as we run our entire organization on the EOS methodology.
- Budget Support: Supporting with invoice processing and keeping records relating to monthly and quarterly budget spend.
- Documentation and filing: Managing, organizing, and maintaining important marketing documents, files, and records, ensuring our SharePoint and HubSpot folder structures are accurate and up-to-date. You may also be responsible for compiling and formatting materials for presentations or reports.
- Project support: Assisting with various projects by gathering data and preparing reports or presentations as needed. You may also be involved in coordinating project timelines and ensuring tasks are on track.
- Marketing team support: Helping the rest of the Marketing team with various, ad hoc projects, including Events support, Social Media Management, and Website updates.
- Ad hoc tasks aligned with those mentioned above.
WHAT WE LOOK FOR
- Education: Bachelor's degree in Business Administration, Marketing, Communications, or a related field.
- Experience: 3-5 years’ of proven experience as an Executive Assistant, Marketing Assistant, or other relevant administrative support experience.
- Language Proficiency: Strong verbal, written, and English communication skills.
- Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
- Technical Skills: Proficient with Microsoft Office Suite or equivalent software, with the ability to learn new or updated software.
- Industry Specific Software/Knowledge:
- Exposure to project management tools, such as Asana.
- Someone highly organized, proactive, and detail-oriented.
- Ability to function well in a high-paced and, at times, stressful environment.
- Ability to organize a daily workload by priorities.
- Experience with EOS a bonus.
- Experience with HubSpot is a bonus.
WHAT WE OFFER
- Salary Range: 50K PHP per month + 10% Performance-related bonus
- Job Type: Full-time
- Work Shift: 8:00 AM - 5:00 PM CST (USA)
- Workdays: Monday through Friday (USA)
