Job Summary:

The Executive Assistant (EA) provides high-level administrative support to the CEO, managing complex calendars, travel, communications, and key projects. This role ensures seamless operations by coordinating with internal and external stakeholders, handling document preparation, email management, and workflow optimization. The EA must excel in multitasking, organization, and technology use while proactively anticipating executive needs.

Duties and Responsibilities:

  • Manage complex calendars, including scheduling meetings across time zones, prioritizing engagements, and making adjustments as necessary.
  • Coordinate travel arrangements, prepare itineraries, and handle logistics to ensure smooth travel experiences.
  • Act as a liaison between executives and other departments, clients and external partners
  • Prepare, review, and format documents, presentations, and reports with a high degree of professionalism and accuracy
  • Assist with email management, ensuring priority messages are flagged and responses are timely
  • Oversee and track project timelines ensuring milestones are met and deliverables are completed on schedule
  • Manage and prioritize multiple projects, tasks and responsibilities while maintaining attention to detail
  • Utilize software skills to optimize workflows and assist in automating repetitive tasks
  • Leverage technology to improve efficiency and data management platforms
  • Assist in handling expense reporting, billing and reimbursement
  • Conduct research and compile information for decision-making purposes
  • Other responsibilities may be assigned

Minimum Skills Requirement:

  • At least 3 years of experience as an Executive Assistant, with a track record of supporting C-level executives
  • Demonstrated expertise in managing complex schedules and high-level projects
  • High proficiency with office productivity software, communication tools and scheduling platforms
  • Exceptional organizational, multitasking, and time management skills
  • Excellent written and verbal communication skills, with an ability to convey complex information clearly
  • Skilled in the use of applications and technologies
