The Ortus Club is a B2B marketing company specializing in virtual and in-person knowledge-sharing discussions.

Our experienced team runs approximately 50 events a month, striving to curate intimate gatherings that bring together senior executives and thought leaders across various industries. The Role

This role is pivotal in ensuring the successful execution of all logistics for in-person and virtual events globally, as well as providing support to the project team for all external suppliers while maintaining adherence to budget and exceeding client expectations.

Responsibilities:

  • Handle all venue bookings, supervise all in-person event operations, and ensure that the selected option always complies with The Ortus Club’s event standards
  • Strive to constantly find new ways to improve our venue selection and management process
  • Research, identify and negotiate spending with ideal venues to conduct in-person events globally
  • Deliver expected client/guest experience as detailed by event brief on strict deadlines
  • Coordinate all event logistics for all events in the company calendar
  • Evaluate events through guest feedback and make proper changes
  • Estimate costs and submit budget statistics for finance approval and tracking
  • Verify receipts/invoices of all materials that must arrive for the event including gifts, printed materials, AV equipment, order forms, and other supplies necessary for the events
  • Develop and maintain strategic relationships with suppliers and other key stakeholders
  • Negotiate with event spaces to achieve the best deal possible

Qualifications:

  • Candidates who are entry-level or with 1-2 years of experience are encouraged to apply
  • Excellent communication, interpersonal, and organizational skills
  • Ability to work independently and manage multiple priorities under pressure
  • Meticulous attention to detail and a commitment to high-quality work
  • Proficiency in Google Workspace applications, CRM systems
  • Experience working in a hybrid setting is a plus
