Are you a detail-oriented and tech-savvy professional looking to join a dynamic team? We are seeking a highly organized Online Business Manager (OBM) to streamline our processes, improve operational efficiency, and ease the administrative workload. As an essential part of our team, you will help ensure smooth day-to-day operations, allowing us to focus on growth and client engagement.

Key Responsibilities

  • Property Management: Upload properties online and manage property listings using platforms like CoreLogic and RP Data.
  • Data Entry and Automation: Manage and Set-up Accurately, enter and maintain data within our CRM system (Salesforce), ensuring all vendor and property information is up to date.
  • Documentation: Organize, save, and maintain both digital and physical documents. Prepare necessary documents for vendor meetings, ensuring all files are ready (e.g., listing checklists, commission forms, marketing schedules).
  • Client Communication: Create and format client communication templates, including welcome emails and follow-up messages. Utilize Docusign for document approvals and signatures.
  • Social Media Engagement: Assist in creating engaging content for our social media platforms (Instagram, Facebook) and oversee property posting on our website.
  • Invoice Management: Generate invoices and quotes for clients. Follow up on outstanding payments to ensure timely processing.
  • Calendar Management: Schedule and coordinate appointments, ensuring all meeting details are communicated effectively via calendar invites.
  • Collaboration: Work closely with agents and vendors, maintaining clear communication regarding property appraisals, open for inspections, and feedback.

Qualifications

  • Strong computer skills and proficiency in data entry.
  • Excellent verbal and written communication skills for effective client interaction.
  • Ability to thrive in a fast-paced environment and meet deadlines.
  • Quick learner with the capacity to adapt to new tools and processes.
  • Highly organized with a meticulous attention to detail.
  • Experience in administrative tasks, document management, and CRM usage.
  • Familiarity with tools such as Salesforce, Trello, Microsoft Office, Docusign, Mailchimp, and social media platforms (Instagram, Facebook) is a plus.
