Shift: 6am-3pm, Monday to Friday
Work Set-up: Complete Onsite to Hybrid

Job Summary:
We are seeking a highly organized and proactive Executive Assistant to the CEO to support daily operations, streamline administrative functions, and ensure efficient coordination across teams. The ideal candidate will serve as the CEO’s right hand, managing schedules, handling communications, assisting with strategic initiatives, and improving overall workflow.
This position is for a company in the e-commerce industry specializing in luxury watches.
Key Responsibilities:
1. Operational Efficiency:
- Enhance daily operational efficiency by managing and improving administrative processes.
- Identify and implement workflow optimizations to improve productivity.
- Ensure tasks and projects are executed efficiently to support the CEO’s strategic goals.
2. Project Coordination:
- Track and manage projects, ensuring deadlines are met and priorities are aligned.
- Maintain and update project management tools like Asana for smooth execution.
- Coordinate with internal teams to ensure timely progress on initiatives.
3. Reporting and Data Analysis:
- Collect, organize, and generate reports from various software tools.
- Provide data-driven insights to assist the CEO in decision-making.
- Handle manual reporting tasks to allow the CEO to focus on strategic analysis.
4. Technical Website Support:
- Manage website updates, including WordPress content changes and maintenance.
5. Communication and Coordination:
- Act as a primary liaison between the CEO, internal teams, and external partners.
- Manage email correspondence and ensure timely follow-ups.
- Coordinate meetings, events, and cross-functional communication.
6. Research and Strategic Support:
- Conduct research and gather critical insights for strategic initiatives.
- Assist in business planning, competitive analysis, and market research.
- Provide the CEO with well-researched information to support decision-making.
7. Customer Service Support:
- Assist in handling customer service inquiries to ensure high levels of satisfaction.
- Work closely with the customer support team to address key concerns efficiently.
- Maintain strong client relations by providing timely and professional responses.
8. Organizational Support:
- Take over administrative and coordination tasks to free up the CEO’s time.
- Manage schedules, travel arrangements, and event planning.
- Ensure all executive tasks are handled with a high level of discretion and professionalism.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant, Operations Manager, or similar role.
- Experience being the right hand of the CEO, wearing multiple hats, and making strategic decisions for the business.
- Strong organizational skills with attention to detail and the ability to multitask.
- Proficiency in Microsoft Office, Google Workspace, and project management tools like Asana.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Experience with WordPress and technical support tasks is a plus.
