Role Overview
We’re looking for an Executive Assistant (EA) to work closely with our Founder/CEO. As a small agency, you’ll have an immediate impact in streamlining day-to-day operations and helping the Founder/CEO stay organized, informed, and ready to move on critical tasks. The ideal candidate is an exceptionally organizef, detail-oriented, and proactive in anticipating needs—freeing up the Founder/CEO to focus on strategy, creative direction, and client relationships.
Key Responsibilities
1. Calendar & Inbox Management
• Schedule and coordinate meetings, both internal and external.
• Optimize the Founder/CEO’s calendar based on shifting priorities.
• Manage email inbox by filtering, drafting replies, and flagging urgent issues.
* Manage call action items and follow ups
2. Travel & Event Coordination
• Arrange travel itineraries for client visits, conferences, and other business-related trips.
• Handle all logistics (flight bookings, accommodations, ground transport) to ensure seamless experiences.
3. Project & Task Support
• Track key deliverables and deadlines using our project management tool, Asana, and our excel dashboards.
• Prepare brief summaries, presentations, or documents needed for client pitches or internal planning.
* Manage and organize client requests, feedback and action items
• Conduct research on industry trends or vendor options as needed.
4. Administrative Tasks
• Organize digital files, manage documentation, and maintain SOPs.
• Handle invoice follow-ups, uploading receipts, and other basic bookkeeping tasks if required.
• Assist with day-to-day operational needs
5. Process Improvement
• Identify ways to enhance workflow efficiency—whether that’s introducing new tools, refining existing SOPs, or automating repetitive tasks.
• Share ideas on how to better streamline the Founder/CEO’s schedule and responsibilities.
Qualifications

• Experience:
• 2+ years as an Executive Assistant, Personal Assistant, or similar support role.
• Familiarity with a fast-paced environment—agency or startup experience is a plus.
• Skills:
• Strong organizational and time-management abilities.
• Excellent written and verbal communication skills (confidently handles email correspondence, meeting notes).
• Proficiency with collaboration/project management tools (Google Workspace, Slack, Asana, Excel).
• Interest in marketing, social media trends, or creative content is helpful but not mandatory.
• Personal Attributes:
• Proactive problem-solver who anticipates needs before they become urgent.
• Able to handle sensitive or confidential information with discretion.
• Flexible and adaptable—comfortable pivoting between tasks in a rapidly changing environment.
• Self-starter who can work independently without needing constant direction.
