About The Role

As a Receptionist/Admin Assistant, you'll be the welcoming face and voice of the client. This position offers a perfect blend of customer service and administrative support. You'll manage our front office operations while providing crucial administrative support that keeps the business running smoothly.

Responsibilities

  • Serve as our first point of contact, greeting clients and handling phone inquiries with professionalism
  • Respond to general enquiries, manage bookings and direct calls efficiently
  • Perform accurate data entry and maintain meticulous records, including opening new matter files
  • Manage all incoming and outgoing correspondence across multiple channels (phone, chat, email, video calls) in a timely, professional manner
  • Prepare detailed reports and create presentation templates using Google Slides
  • Collaborate with other departments to ensure smooth workflow and timely task completion
  • Coordinate meetings, appointments, and events, managing calendars effectively
  • Handle sensitive customer information with absolute confidentiality and discretion

Requirements

  • Strong written and verbal English communication skills
  • Proven reliability with excellent attention to detail
  • Working knowledge of Excel and other Microsoft Office applications
  • Adaptability to changing priorities and ability to learn quickly
  • Technical proficiency with G-Suite and various online tools
  • Experience in professional voice interactions with emphasis on customer satisfaction

Highly Regarded Skills And Experience

  • Previous experience in an administrative or reception role with client-facing responsibilities
  • Knowledge of cloud storage platforms such as Google Drive or Dropbox
  • Background in coordinating events or meetings
