Essential Functions
Our client is looking for a Timecard Collection and Onboarding Coordinator who will be responsible for ensuring the accurate and timely collection, verification, and submission of timecards for temporary employees, as well as starting the onboarding process for temporary employees. This role is critical in maintaining payroll accuracy and supporting compliance with organizational and client requirements.

Essential Functions
- Perform the following timecard collection and review tasks:
- Collect timecards from temporary employees on a regular schedule
- Send reminder emails to employees to enter hours
- Send notices to managers for timecard approvals for current and past timecards
- Perform timecard uploads from external timecard systems into the internal system
- Perform daily manual sweeps from external timecard systems to capture new timecards and manager approval from past timecards
- Verify timecard accuracy, including hours worked, breaks, and approvals
- Communicate with employees or supervisors to resolve discrepancies
- Perform the following data entry and recordkeeping tasks:
- Enter timecard data into the payroll or timekeeping system promptly, as appropriate
- Maintain accurate and organized records of timecard submissions
- Ensure compliance with deadlines for payroll processing
- Perform the following communication and support tasks:
- Serve as the primary point of contact for temporary employees regarding timecard submissions and any questions
- Provide guidance on timecard policies and procedures
- Escalate unresolved issues to HR or payroll departments as needed
- Perform the following compliance and reporting tasks:
- Ensure compliance with labor laws and company policies related to timekeeping
- Generate and submit timekeeping reports to relevant departments
- Perform the following new hire onboarding tasks:
- Prepare and distribute offer letters, employment agreements, and other pre-employment documents
- Maintain and update onboarding checklists and documentation
- A Bachelor’s degree in the related field is preferred
- Experience in payroll, human resources, or administrative support preferred
- Proficiency in Microsoft Office and familiarity with payroll/timekeeping software
- Experience in a multi-client environment
- Strong attention to detail and organizational skills
- Excellent communication and problem-solving abilities
- Aptitude in data management, analytics, reporting preparation
- Ability to function in an autonomous environment—independent worker, self-directed
