This role is crucial in maintaining clear records of project meetings, ensuring effective follow-up with team members and clients, and supporting the management team in maintaining accountability across projects. The position will free up valuable time for technical staff while ensuring all project-related communications and documentation are properly managed.

The Impact you’ll make

Meeting Management

  • Take and organize detailed meeting minutes

  • Distribute post-meeting information to staff and clients

  • Follow up on action items and decisions

  • Maintain organized meeting documentation


Project Support

  • Schedule and coordinate meetings with internal staff and clients

  • Manage communication flow between team members

  • Support project documentation organization

  • Maintain technical documentation filing system


Team Coordination

  • Assist in maintaining team accountability through organized follow-ups

  • Support task delegation and tracking

  • Coordinate with various departments for project updates

  • Manage internal communication channels


Administrative Excellence

  • Coordinate non-client-related travel arrangements when needed

  • Manage calendar and scheduling requirements

  • Maintain organized digital filing systems

  • Handle time-sensitive communications



Skills, Knowledge and Expertise

Required:

  • Proven experience in construction or electrical industry environments

  • Proficiency in Microsoft 365 (Teams, Outlook) and Monday.com

  • Demonstrated ability in taking and organizing meeting minutes

  • Strong technical writing and communication skills

  • Understanding of construction and electrical terminology

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
