Job Description

Embark on an exciting opportunity as an Invoicing Specialist for a forward-thinking educational consulting firm. In this pivotal role, you’ll be the financial backbone of our operations, managing complex invoicing processes that keep our team of expert consultants in the field and making a difference. You’ll work with cutting-edge proprietary software, juggle multiple projects, and ensure the smooth financial operation of our impactful educational initiatives. Responsibilities

  • Master our state-of-the-art proprietary invoicing system to process accurate and timely invoices
  • Analyze and compile consultant work reports, translating on-site educational support into billable hours
  • Manage a dynamic calendar system to ensure precise billing for worked days across multiple school districts
  • Develop and maintain comprehensive Excel spreadsheets to track invoice submissions and financial data
  • Ensure pinpoint accuracy in billing over complex, multi-month educational project periods
  • Coordinate weekly invoice submissions, typically every Monday, to maintain consistent cash flow
  • Organize and manage digital documents and folders with meticulous attention to detail
  • Monitor and update the Bamboo HR system to keep team member information current and accessible
  • Collaborate with educational consultants and leadership to streamline financial processes
  • Adapt to evolving project needs and potentially take on additional administrative tasks as the role grows

Requirements

  • Proven experience with invoicing processes and financial terminology
  • Eagle-eye attention to detail and ability to manage intricate scheduling systems
  • Advanced proficiency in Excel and Google Docs for data management and reporting
  • Quick learner with the ability to master proprietary software systems
  • Exceptional organizational skills and ability to juggle multiple projects simultaneously
  • Strong digital file management capabilities and comfort with cloud-based systems
  • Self-starter who can work independently and consistently meet deadlines
  • Excellent written and verbal communication skills
  • Passion for education and interest in contributing to meaningful educational initiatives
  • Ability to work part-time, 4 hours per day, 5 days a week (20 hours total)
  • Comfortable with remote work and flexible hours
