The ideal candidate will have a strong background in accounting, and administrative support, with specific experience in scheduling & preparing bills of quantities. This role is pivotal in ensuring smooth operations across the financial and administrative functions, as well as supporting the day-to-day management of projects.

Responsibilities

Accounting & Bookkeeping:

  • Manage day-to-day bookkeeping tasks including invoicing, accounts payable, accounts receivable, and bank reconciliations.
  • Prepare financial reports, budgets, and forecasts for ongoing construction projects.
  • Process payroll and ensure tax compliance for employees and contractors.
  • Monitor project costs, ensuring that all expenses are tracked and documented correctly.
  • Prepare and submit tax returns in compliance with local regulations.

Administrative Duties:

  • Provide administrative support to senior staff, including filing, report generation, and correspondence.
  • Organize and maintain both digital and physical project records and financial documents.
  • Liaise with suppliers, subcontractors, and clients to ensure smooth project execution and timely payments.
  • Ensure compliance with company policies and industry regulations.

Project Management Support (Preferable):

  • Assist in the scheduling of construction projects, coordinating resources, timelines, and project milestones.
  • Prepare and review Bills of Quantities (BoQ) and other tender documentation.
  • Monitor progress and budgets of ongoing projects, providing regular updates to project managers and clients.
  • Maintain project documentation, including contracts, change orders, and meeting minutes.

Qualifications

  • Proven experience as a bookkeeper and administrator within the construction industry.
  • Strong understanding of construction-specific accounting processes, including cost tracking, BoQ preparation, and project budgeting.
  • Experience with scheduling software and project management tools.
  • Familiarity with construction contracts, subcontractor agreements, and change order management.
  • Excellent attention to detail and ability to work under tight deadlines.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and MS Office Suite.
  • Knowledge of relevant industry regulations and tax laws.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and analytical abilities.

Preferred Qualifications:

  • Experience with estimating and procurement in the construction industry.
  • Familiarity with industry-specific project management software (e.g., Procore, Buildertrend).
  • Certification in bookkeeping or accounting (e.g., AAT, CPA).
  • Prior experience in handling multi-site or large-scale construction projects.
