AU Bookkeeper/Administrator (Construction industry)

We are seeking an experienced and detail-oriented Bookkeeper / Administrator to join our team in the construction industry. The ideal candidate will have a strong background in accounting, and administrative support, with specific experience in scheduling & preparing bills of quantities. This role is pivotal in ensuring smooth operations across the financial and administrative functions, as well as supporting the day-to-day management of projects.
Responsibilities
Accounting & Bookkeeping:
- Manage day-to-day bookkeeping tasks including invoicing, accounts payable, accounts receivable, and bank reconciliations.
- Prepare financial reports, budgets, and forecasts for ongoing construction projects.
- Process payroll and ensure tax compliance for employees and contractors.
- Monitor project costs, ensuring that all expenses are tracked and documented correctly.
- Prepare and submit tax returns in compliance with local regulations.
Administrative Duties:
- Provide administrative support to senior staff, including filing, report generation, and correspondence.
- Organize and maintain both digital and physical project records and financial documents.
- Liaise with suppliers, subcontractors, and clients to ensure smooth project execution and timely payments.
- Ensure compliance with company policies and industry regulations.
Project Management Support (Preferable):
- Assist in the scheduling of construction projects, coordinating resources, timelines, and project milestones.
- Prepare and review Bills of Quantities (BoQ) and other tender documentation.
- Monitor progress and budgets of ongoing projects, providing regular updates to project managers and clients.
- Maintain project documentation, including contracts, change orders, and meeting minutes.
Qualifications
- Proven experience as a bookkeeper and administrator within the construction industry.
- Strong understanding of construction-specific accounting processes, including cost tracking, BoQ preparation, and project budgeting.
- Experience with scheduling software and project management tools.
- Familiarity with construction contracts, subcontractor agreements, and change order management.
- Excellent attention to detail and ability to work under tight deadlines.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and MS Office Suite.
- Knowledge of relevant industry regulations and tax laws.
- Ability to work independently and as part of a team.
- Strong problem-solving and analytical abilities.
Preferred Qualifications:
- Experience with estimating and procurement in the construction industry.
- Familiarity with industry-specific project management software (e.g., Procore, Buildertrend).
- Certification in bookkeeping or accounting (e.g., AAT, CPA).
- Prior experience in handling multi-site or large-scale construction projects.
