Job Description

As a Virtual Assistant in our dynamic mental health practice, you’ll be at the heart of our client care and practice management. This role offers a unique blend of administrative expertise and healthcare support, allowing you to make a real difference in people’s lives. You’ll handle a variety of tasks, from coordinating appointments to managing client communications, all while working in a supportive, fast-paced environment. This position is ideal for someone who thrives on multitasking, has excellent communication skills, and is passionate about contributing to mental health care.

Responsibilities

  • Serve as the first point of contact for clients, managing a high volume of inquiries with professionalism and empathy
  • Coordinate and schedule appointments, ensuring efficient use of healthcare providers’ time
  • Handle client communications through various channels, including phone, email, and our client portal system
  • Set up invoices for insurance claim filing and assist with insurance verification processes
  • Address and resolve client concerns or complaints with tact and discretion
  • Assist with general administrative tasks to keep our practice running smoothly
  • Cross-train on various responsibilities to provide comprehensive support to our team
  • Collaborate with healthcare providers to ensure seamless client care coordination

Requirements

  • Excellent English language skills, both written and verbal, with a neutral accent
  • Strong organizational abilities and proven capacity to multitask in a fast-paced environment
  • Proficiency in using client management systems and healthcare-related software
  • Experience in customer service or healthcare administration preferred
  • HIPAA certification or willingness to undergo HIPAA training
  • Ability to work independently while also collaborating effectively with a remote team
  • Excellent phone etiquette and ability to handle sensitive information with confidentiality
  • Adaptability and willingness to learn new skills and technologies
  • Reliable internet connection and quiet work environment
