JOB DESCRIPTION: Virtual Assistant - Administrative/Executive Assistant
VA RATE : 6-8AUD per Hour
Purpose: The position is responsible for providing a range of timely and accurate administrative and executive support. This position is responsible for supporting the team to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. The role is integral to the success of the group.R
JOB QUALIFICATIONS
Must have at least 2-3 years relevant experience in Administrative and Executive support.
Work experience in the construction industry is a PLUS
Experienced in using Xero (for bank reconciliation, bookkeeping, payroll and invoicing)
Strong communication and interpersonal skills.
Great attention to details
Highly organized with good attention to detail
Experience in establishing and maintaining effective administrative systems and processes
Ability to work autonomously and as a team member
Knowledge in using Microsoft Office
Duties and Responsibilities:
Bank reconciliation in Xero (might handle Bookkeeping and Payroll later on)
Schedule appointments and maintain calendars
Schedule and coordinate staff and other meetings
Answers emails in a timely manner
File management
Following up on leads/referrals through email
Sending files to architects
Research for plans submitted to the council - people looking to build their homes, and contact them to express interest in the project
Prepare communications, such as memos, emails, invoices, reports and other correspondence.
Write and edit documents from letters to reports and instructional documents.
Create and maintain filing systems
Respond to service enquiries and requests
Communicate and liaise with key stakeholders, services users, families, staff and advocates
