The Opportunity
As Paraplanner, you will be required to act as core support within the Advice Team where you will work closely with the Director of Operations, Adviser and Client Services Administrator.
The role is to deliver essential back-office support, ensuring that all administrative tasks required in the Client Process are followed to deliver financial advice to clients in a timely and accurate manner while meeting the standards set by the organization.
Where required and with guidance, you will be expected to create simple Statements of Advice (SoA) and/or Records of Advice (RoA) using the financial planning software XPLAN.

What we're looking for:
- 3-5 years of experience in the Australian financial planning industry
- Has substantial experience in preparing Statements of Advice & Records of Advice (SoAs and RoAs)
- Has experience and exposure to the following software:
- -XPLAN / Iress- Essential.
- -Office 365- MS apps, Word, Excel, Outlook, Teams- Essential
- -Adobe- Desirable but not essential.
- -OneDrive-Desirable but not essential.
- -Monday.com-Desirable but not essential.
- -Nordpass--Desirable but not essential.
- Must be able to demonstrate initiative in your work and makes effective decisions within the guidelines of company policy.

Your key responsibilities:
- Meet with Adviser and CSM for weekly planning.
- Manage & check Monday workflow boards in addition to other workflows to ascertain items that are required to be actioned daily.
- Where required – complete & finalise any remaining open tasks using Monday as a guide.
- Acknowledge requests and queries received from advisers and/or clients.
- Ensure all files, correspondence & other documentation are saved in an organized manner in OneDrive.
- Check adviser portals regularly for any correspondence and activities relating to clients’ policies such as renewal, amendments, cancellation etc.
- Ensure correspondence & statements relating to these activities are saved to clients’ respective folders.
- Crosscheck client files and policy details on Xplan & Monday Boards and update where required ascertaining all information are accurate, current, and up to date.
- Ensure all upcoming Annual & Half Yearly reviews, Client Service Agreements & Consent Form renewal dates are followed using the respect Boards in Monday.
- Arrange and activate thread workflow for Annual or Half-Yearly Reviews using Monday.
- Prepare fact finder using Xplan wizard to produce the fact finder document.
- Prepare & send post-meeting comprehensive annual or half yearly superannuation investment reports to clients.
- Undertake the word processing and formatting of SoAs and RoAs and ensure correct flow, grammar and spelling as per timeline and instructions set by adviser.
- Send SoAs and RoAs through DocuSign for clients’ authorisation.
- Manage and maintain Managed Field Content templates and directory.
- Regularly update and maintain client, insurance, and super and investment information on Xplan.
- Prepare and produce documents such as Client Engagement Agreements, Insurance Review and Policy Schedules, and other correspondence using XPLAN.
- Construct & Create Statements/Records of Advice when required using XPLAN.
- Manage and update Boards in Monday workflow
