What we’re looking for:

We are seeking an experienced Executive Calendar Specialist to optimize executive schedules and ensure seamless coordination across teams and stakeholders. As an Executive Calendar Specialist, you will oversee complex scheduling, ensuring every meeting, deadline, and commitment aligns with the executive’s priorities. The role requires expertise in calendar tools and a proactive approach to planning. This position is ideal for detail-oriented individuals who thrive on organization and efficiency in a remote environment.

Responsibilities—what you'll do:

  • Use Google Calendar or Outlook Calendar to schedule, update, and optimize meetings, ensuring alignment with priorities and availability.
  • Anticipate scheduling conflicts and proactively resolve them to minimize disruptions.
  • Utilize tools to seamlessly arrange meetings for global teams.
  • Leverage Calendly or similar tools to manage meeting requests and simplify scheduling for external stakeholders.
  • Develop and maintain recurring meeting templates and processes to streamline recurring events.
  • Regularly audit the calendar to ensure accurate scheduling and avoid double-bookings.
  • Send reminders and updates to stakeholders for all appointments and changes.
  • Prepare agendas and meeting notes using Google Docs or Microsoft Word.
  • Track deliverables and deadlines using task management tools like Asana or Trello.
  • Use automation tools like Zapier to integrate calendar management with other tools, such as automating follow-up emails or task reminders.
  • Continuously improve calendar workflows and recommend better tools or practices to the executive.

Requirements:

  • Proficiency with Google Calendar, Outlook Calendar, and scheduling tools like Calendly or Doodle.
  • Familiarity with Microsoft Teams, Zoom, or Google Meet for managing virtual meetings.
  • Experience with task management software such as Asana, Trello, or Monday.com to track meeting-related action items.
  • Exceptional attention to detail to ensure calendar accuracy and efficient scheduling.
  • Fully fluent in English
  • Ability to work U.S. business hours (Pacific Time, Central Time, or Eastern Time)
  • This position is for serious, career-oriented candidates
