About the Group

The Executive assistant will report directly to the co-founders and be responsible for supporting the company's e-commerce operations, including order management, data updates, inventory synchronization, and content development across online sales channels such as Shopee, Shopify, and social media platforms.

This is a fully remote position. However, due to the nature of the work, the candidate must be available to respond outside regular working hours and on weekends when necessary. We are looking for a proactive, detail-oriented candidate with a strong sense of responsibility.

Job Description:

The Executive assistant is responsible for:

  • Manage executive schedules, organize meetings, and arrange business trips.
  • Provide administrative support, including email management, data entry, and report preparation.
  • Handle confidential correspondence and ensure smooth daily operations.
  • Update and maintain accurate data on spreadsheets, databases, and online platforms.
  • Update orders from Shopee, Shopify, and other sales channels, ensuring accurate and timely data entry.
  • Synchronize inventory between the website and Shopee to reflect real-time stock levels, preventing overstocking or shortages.
  • Record internal sales data in the order tracking sheet, ensuring accurate financial and inventory management.
  • Track and update sample or demo products in the system to maintain transparency in inventory records.
  • Propose and improve inventory tracking processes to enhance efficiency and minimize errors.
  • Accurately update information in the Master Inventory Sheet, ensuring consistency between the main sheet and the inventory tracking sheet.
  • Add new products to the homepage as soon as they arrive, keeping the catalog fresh and up-to-date.
  • Manage product listings, monitor inventory levels, and process orders on Shopee and Shopify.
  • Respond to customer inquiries and provide support through online channels.
  • Communicate directly with brands, manage new orders, handle product defects, and track delivery progress.
  • Collaborate closely with designers to gather product images for sales channels and marketing purposes.
  • Create and schedule engaging posts on platforms such as Facebook, TikTok, and Telegram.
  • Monitor social media interactions, respond to comments and messages, and maintain a positive brand presence.
  • Work with the marketing team to develop content aligned with promotional campaigns and brand tone.

As an Executive assistant, it would be beneficial if you have the following skills and experience:

  • Having experience in the role of a Assistant, E-commerce & Social Media Assistant, or similar positions.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
  • Strong time management and organizational skills, able to handle multiple tasks simultaneously.
  • Leadership, problem-solving, and management abilities to work effectively.
  • Strong analytical skills to make accurate decisions.
  • Experience working with Shopee or e-commerce websites is an advantage.
  • Ability to use ChatGPT to optimize product descriptions.
  • Responsible, able to work independently, and proactive in collaborating with the team.
