Our esteemed client, an Australian consulting firm specialising in conveyor systems and materials handling solutions, is looking for an Executive Assistant. As an Executive Assistant, you will provide high-level administrative support to the client, ensuring their time is optimized and daily operations run smoothly. This role includes managing calendars, coordinating meetings, overseeing communications, facilitating travel arrangements, and assisting with other operational tasks in a fast-paced remote environment.
Key Responsibilities:
- Focus Management: Filter tasks, notifications, and inquiries to safeguard the client’s time, ensuring they stay focused on highpriority tasks and business goals.
- Administrative Support: Manage day-to-day operations by scheduling meetings, handling urgent requests, preparing daily priority lists, and tracking progress on key tasks and performance indicators.
- Daily Task Management: Ensure smooth operations and timely execution by preparing and updating the client's to-do list, helping them stay on track with high-priority items.
- Calendar & Meeting Management: Oversee complex scheduling across multiple time zones, proactively resolving conflicts to ensure meetings are prioritized effectively, and the client remains focused without burnout.
- Email & Communication Management: Manage a high volume of emails, sorting, prioritizing, and responding on behalf of the client to ensure seamless and timely communication.
- Document Drafting & Reporting: Draft important documents, compile reports, and assist with data organization, ensuring accuracy, professionalism, and attention to detail.
- Travel Coordination: Plan and organize travel arrangements, including flights, accommodation, and itineraries, ensuring efficient and well-organized trips.

Qualifications:
- Education: Relevant background in business administration or related fields (preferred).
- Experience: 3-5 years of experience as an Executive Assistant (EA) or Personal Assistant (PA), providing high-level support to senior executives.
- Technical Skills: Proficiency in Microsoft 365 (Excel, Outlook), ERP systems, and general office tools. Familiarity with Zero is a plus.
- Soft Skills: Strong organizational skills, excellent communication, attention to detail, the ability to prioritize tasks effectively, and a proactive approach to problem-solving.
- Language: Fluency in English (both written and spoken) is required. Additional language skills are a plus but not necessary.
