Why does this role exist?
This position serves as the operational backbone for our artist booking department, ensuring seamless coordination between performers, agents, venues, and technical teams. The Artist Booking Coordinator will manage the administrative aspects of bookings, maintain clear communication channels, and support logistics planning, allowing our booking managers to focus on cultivating relationships and curating exceptional musical experiences for our venues.

The Impact you’ll make

Artist & Calendar Management

  • Track artist availability and maintain updated booking calendars

  • Schedule meetings between artists, managers, venues, and promoters

  • Maintain the talent buyer's calendar to prevent conflicts

  • Organize digital systems for efficient booking management


Contract & Documentation Coordination

  • Organize contracts, invoices, and rider documents

  • Track payments from venues and to artists

  • Maintain records of booking-related expenses

  • Compile post-event reports on attendance and performance


Communication Management

  • Respond to inquiries from artists, agents, venues, and vendors

  • Serve as liaison between booking managers and entertainment industry contacts

  • Ensure timely follow-ups on payments, confirmations, and essential communications

  • Maintain professional relationships with industry stakeholders


Logistics Planning

  • Book flights, hotels, and transportation for artists and crew

  • Support show logistics including load-in/load-out schedules

  • Coordinate with technical teams on artist rider requirements

  • Assist with backstage arrangements and hospitality



Skills, Knowledge and Expertise

Required:

  • Background in music industry, event management, or artist relations

  • Experience with calendar management and scheduling systems

  • Familiarity with artist contracts and technical riders

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication abilities

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
