Role Overview
Reporting to the COO and CEO, the Director of Operations will oversee the overall efficiency and performance of our firm’s operations, setting strategic goals and standards across all operational functions, while primarily focusing on the firm’s administrative (non-legal) operations. This leader will oversee administrative operations of the firm, client service, vendor and personnel management, and cross-department collaboration. The role requires a high-level, proactive strategist capable of driving firm-wide initiatives, improving performance metrics, and implementing innovative solutions, including AI-powered operational enhancements.
Key Responsibilities
· Strategic Planning & Performance Management
o Develop and implement operational strategies aligned with firm goals.
o Establish, monitor, and analyze Key Performance Indicators (KPIs) to drive efficiency and business outcomes.
o Lead data-driven decision-making to enhance performance, cost-effectiveness, and scalability.
o Oversee budget planning and operational cost management.
· Operational Leadership & Process Optimization
o Standardize and refine firm-wide processes, ensuring efficiency and consistency.
o Oversee firm-wide administrative functions, including project management, personnel onboarding/offboarding, and vendor/subscription oversight.
o Identify and implement technology solutions to streamline workflows and enhance collaboration.
o Ensure operational alignment across HR, IT, finance, marketing, and sales.
o Foster a culture of continuous improvement and accountability within teams.
o Develop, document, and enforce standard operating procedures (SOP’s) to ensure consistency and effectiveness
o Continuously seek opportunities to direct, create, and enhance operational processes, implement best practices, and optimize resource allocation
· Project & Task Management
o Lead execution of strategic projects, ensuring timely delivery and alignment with business objectives.
o Provide analytical reports, presentations, and decision-support tools for senior leadership.
o Oversee task prioritization, delegation, and tracking of key firm initiatives.
o Delegate tasks effectively, ensuring proper alignment with team strengths and capabilities.
· Client & Personnel Management
o Oversee client intake processes and ensure seamless engagement in firm systems.
o Support hiring, onboarding, and performance management for administrative staff.
o Ensure HR compliance with employment policies and labor laws.
o Strengthen relationships with internal team members, contractors, and vendors to drive operational success.
· AI & Technology Strategy Development
o Identify AI-driven solutions for improving operational efficiency.
o Develop an AI roadmap for automation, predictive analytics, and client service enhancements.
o Evaluate and implement AI-powered tools to streamline workflows.
o Leverage data analytics to identify operational improvements and optimize resource allocation.
· Vendor & Technology Oversight
o Manage relationships with external vendors, IT service providers, and software partners.
o Evaluate and negotiate contracts for operational tools, ensuring the firm uses best-in-class technology.
o Oversee firm-wide software and system integrations to enhance efficiency and security.
Qualifications & Skills
· Bachelor’s degree in Business Administration, Operations Management, or a related field; MBA preferred.
· 8-10 years in senior operations or business management, preferably in professional services.
· Strong understanding of business strategy, budgeting and financial planning.
· Ability to track KPIs, analyze data, and implement performance-driven decisions.
· Experience with AI tools, automation platforms, and operational analytics.
· Excellent organizational and multitasking skills, with the demonstrated ability to manage complex projects with a proactive approach and minimal supervision.
· Self-motivated team player with a high sense of urgency, can-do attitude and strong ethical standards.
· Highly analytical with meticulous attention to detail.
· Strong interpersonal skills, with the ability to mentor teams and drive results.
· High-level critical thinking, anticipating challenges, and providing proactive solutions.
· Excellent written and verbal communication and highly effective interpersonal skills.
· Advanced proficiency in Microsoft Office Suite (Teams, Excel, Word, Outlook, PowerPoint) and project management tools (e.g., Microsoft Planner).
· Experience with law firm management software (e.g., Clio, Bigin by Zoho, DocuSign, Microsoft SharePoint) is a plus, but not required.

· Reliable computer and high-speed internet for video conferencing.
· Ability to work 8:00 AM – 5:00 PM (Mountain Time).
· Minimum English Proficiency / Score: C1 (Advanced)
