Why does this role exist?
This position exists to provide comprehensive support for event marketing and coordination, ensuring seamless integration between event management systems, marketing channels, and venue operations. The Event Marketing Specialist will maintain accurate event calendars, manage online event listings, organize digital marketing assets, and assist with client onboarding processes, allowing venue managers to focus on in-person client interactions while ensuring all promotional and operational aspects of events are executed effectively.

The Impact you’ll make

Calendar & Event Management

  • Synchronize event calendars across Tripleseat, Google Calendar, and venue systems

  • Update calendars with time changes and special event links

  • Monitor schedule conflicts and notify management of major changes

  • Assist with 30-day and 2-week event check-ins via Tripleseat


Ticketing & Online Presence

  • Set up and manage online ticketing for special events

  • Maintain event information on websites and ticketing platforms

  • Ensure cohesive public-facing information across all channels

  • Provide support to promoters regarding ticketing and reconcile sales with financial records


Event Portal Management

  • Maintain venue profiles on TagVenue, Eventective, Peerspace, Unique Venues, Vendry, and Spotz

  • Respond to inquiries through these platforms, especially during high-volume periods

  • Add venues to free listings such as The Knot and Wedding Wire

  • Ensure all listing information remains current and accurate


Content & Digital Asset Organization

  • Organize event photos into appropriate folders (corporate, social, small events, groups)

  • Maintain updated image libraries of the four Denver spaces

  • Proofread content for sales decks and marketing materials

  • Ensure all images are high-resolution and properly formatted


Vendor & Promoter Coordination

  • Confirm rental delivery schedules through remote access systems

  • Assist with promoter and client onboarding processes

  • Review run-of-show documents to ensure all client needs are addressed

  • Build floor plans occasionally using software like Prizmm


Data & Reporting Support

  • Assist with gathering data and reports from Smart Tab

  • Maintain Tripleseat organization and overall system maintenance

  • Track specific client sales for different time periods as needed

  • Support marketing team with Denver revamp initiatives and promoter submissions



Skills, Knowledge and Expertise

Required:

  • Experience with event management software (Tripleseat or similar platforms)

  • Familiarity with calendar management across multiple systems

  • Background in event coordination or marketing support

  • Proficiency with digital file organization and management

  • Attention to detail for proofreading and content accuracy

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
