The Executive Assistant is primarily responsible for providing administrative support to ensure the efficient operation. This role assists in managing schedules, coordinating meetings, handling documentation, and organizing resources. The role also supports in preparing management reports and executing special assignments as required.

Main Responsibilities

Administrative Support:

  • Manage the Segment Head's schedule and coordinate internal and external meetings with Group and Division Heads, as well as support units.
  • Handle the ordering, safekeeping, and distribution of office supplies.
  • Manage incoming and outgoing communication, such as calls and emails.
  • Maintain inventory of office equipment and fixed assets, including laptops, projectors, and fax machines.
  • Ensure proper routing of documents for approval/signature by the Group Head, and maintain secure filing systems for reports, memos, contracts, and other key documents.

Travel And Event Coordination

  • Arrange travel logistics, including booking flights, hotels, and transportation for both the Segment Head and the Group.
  • Organize invites for conferences, events, and meetings for the Segment Group, ensuring all logistical aspects are taken care of.

Management Report Preparation

  • Assist the Segment Head in compiling and preparing management reports, including data gathering, formatting, and presentation of materials.

Special Assignments

  • Perform special projects and assignments as instructed by the Segment Head to meet organizational goals and timelines.

Qualifications

  • Graduate of any 4 year Bachelor’s/College Degree, preferably related to Business, Banking or Finance
  • With 2 years experience in Banking Operations & Principles
  • Adept in the needed MS Office systems
  • Willing to be assigned in Makati
