Job Purpose

The legal assistant provides general services to the legal and compliance team. He/she is also responsible for the organization’s documents. This position involves coordinating with the different departments within an organization and ensuring that documents are kept in the right location and are accessible to all internal services. Duties in-office and off-site/field work is expected to fulfill any compliance requirements the company has.

Duties And Responsibilities

  • Provide general administrative support to the legal department
  • Attend to field assignments (gov’t offices/agencies, legal documentation, etc.) when needed
  • Document meetings and legal consultations with management and external stakeholders
  • Preparation of standard documents as requested through the legal departmentImplement and maintain document control processes and procedures
  • Maintain the Record Management System (RMS)
  • Maintain Master List of Contracts
  • Manage all flows of documents either in electronic form or on paper support
  • Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)
  • Maintain and manage electronic and hard copy documents as required
  • Process incoming documentation (registration in the RMS, internal distribution, archiving)
  • Process outgoing documentation (transmit to Client and Suppliers/3rd parties)
  • Makes sure that controlled copies of latest approved documents are distributed internally and externally (Clients and Suppliers)
  • Ad hoc tasks deemed necessary by business/management in line with legal team’s jurisdiction

  • Bachelor's degree in business, law, management, or related field
  • Open to fresh graduates
  • Ability to manage multiple priorities in a dynamic and demanding work setting instead
  • Ability to analyze data and come to conclusions
