Key Responsibilities
- Strategic Sourcing & Supplier Relations
- Identify, evaluate, and negotiate with suppliers, vendors, and production partners to meet both administrative and creative project needs.
- Build and maintain strong supplier relationships to ensure high-quality service, competitive pricing, and reliable partnerships.
- Scout and source vendors for photoshoots, event venues, production houses, videographers, photographers, talent agencies, and PR materials.
- Ensure all procurement aligns with creative project deadlines and budget constraints.
- Oversee procurement activities to ensure efficiency, transparency, and adherence to audit, BIR, and company policies.
- Maintain and update supplier records, contracts, and pricing agreements.
- Prepare and process purchase orders and procurement documents, ensuring smooth transactions.
- Conduct cost analyses to secure the best value for purchases while maintaining high creative standards.
- Work closely with internal teams, including creative, production, and accounts, to align procurement with project goals.
- Ensure all purchases contribute to the agency’s ability to deliver outstanding campaigns.
- Ensure compliance with legal and ethical procurement practices.
- Monitor supplier performance and ensure timely payments for smooth business relationships.
- Maintain a supplier database, continuously identifying new vendors and sourcing opportunities.
- Stay updated on industry trends to recommend innovative solutions for campaign needs.
- Perform other duties as assigned by the Admin and Finance team.
Minimum Qualifications
- Bachelor’s degree in any field (Business, Marketing, Advertising, or related fields preferred).
- At least 2 years of experience in procurement, purchasing, or supplier management, ideally in a creative, marketing, or media agency.
- Strong negotiation and relationship management skills.
- Proficiency in English and Filipino for clear communication with vendors and internal teams.
- Analytical mindset with the ability to evaluate supplier proposals for cost and quality.
- Ability to work under tight deadlines and manage multiple procurement needs for simultaneous projects.
- Experience in creative production procurement (e.g., sourcing props, production teams, location scouting).
- A passion for creativity and an understanding of how procurement supports marketing and advertising campaigns.
