How will you make an impact in this role?
The role will be a key member of Customer Engagement Network (CEN) APAC, Canada & Amex Philippines’ Country Manager’s Office. This is a dynamic, fast paced role that requires an individual who can work independently to provide operational support to the Leadership Team across CEN and Manila site. The individual will have a strong eye for business, outstanding organizational skills, display an exceptionally high attention to detail and will be effective in building and demonstrating relationships at all levels in the organization.
Responsibilities:
Administrative
- The Senior Executive Assistant (Senior EA) supports the Vice President of CEN across the region (APAC & Canada) & the General Manager of American Express Philippines branch (VP of CEN APAC / Canada & GM of Amex PH). The incumbent’s responsibilities cover both functional CEN & site PH.
- Senior EA manages all administrative items in an accurate manner, not limited to but including:
Advanced Calendar Management – coordinate and manage the calendar of the VP of CEN APACC & GM of Amex PH and its Office, scheduling high-level meetings, appointments and events across all time zones.
Meeting Preparation and Follow-up – Organize meetings including building and preparing agendas, briefing documents/decks, taking minutes and follow-up on action items.
Travel Management – plan and coordinate detailed travel and expense arrangements, including but not limited to international travel, visa applications, team events, accommodation, transportation and travel itineraries.
Expense Management – Track and reconcile expense reports in Concur ensuring compliance with policies and timely submission of reimbursements.
Event Planning – plan, coordinate and execute events, off-site meetings, Sr Leader visits, conferences and other events led by the CMO, ensuring all logistics are handled efficiently.
High Level Communication – serve as liaison with internal and external stakeholders, managing emails, phone calls and in-person meetings with professionalism.
Engagement Budgets – tracking of allocated engagement budgets and Rewards Blue across CEN APAC. Support in awarding Rewards Blue points in behalf of the VP of CEN APACC and GM of Amex PH and its office.
- Senior EA should take the lead with all senior leaders’ visit to the site, from the tracking to the visit support.
- Senior EA should also provide administrative support to the Chief of Staff (CoS), Director of Operations for CEN & other members of the team as appropriate.
- Senior EA will enable collaboration with other EAs in Amex PH and CEN APAC to enable best practice sharing and improve the support provided to respective leaders, office and teams.
- Senior EA will be solely in charge of the end-to-end organization & management of the Country Executive Team (CET)’s meeting, from agenda collation, email circulation, deck preparation, attendance tracking, minute documentation & other responsibilities that will ensure solid company compliance.
- Senior EA will play a role in ensuring follow up to items raised in the CET meeting that requires follow up / updates, be responsible to ensure adequate closure documentation.
- Senior EA will partner with the Chief of Staff to manage other legal entity related matters & management of the action log. Ensuring PH branch compliance is everyone’s responsibilities.
- Senior EA will support the PH Senior Leadership Team (SLT), comprising of the GM, all VPs, the CHRO & the CoS in tracking critical tasks & deliverables to ensure accountability & completion.
- The incumbent should act as a role model to all EA within CEN & PH, bringing them together to share best practices, learnings, governance, compliance to changing policies & any other matters of importance.
- Senior EA represents the country manager’s office. The incumbent’s actions represent the standard of service coming from the office.
- Senior EA will provide support to the local regulatory compliance team in processing payments and completing documentation for regulatory filing.
- Learning savvy and out-of-the-box thinker. You need to have an open mind in learning and trying new things while operating in a dynamic environment.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with attention to detail.
Advanced level written & verbal English communication skills
Demonstrates proactive approaches to problem-solving with strong decision-making capability independently and through collaboration.
Flexible & dependable with a high emotional maturity
Highly resourceful team player with the ability to learn quickly, independently, and troubleshoot issues confidently- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service to colleagues.
- Minimum of 5 years of related experience as a Senior level executive assistant, supporting C-Suite Executives.
- Advanced proficiency in Microsoft Office (PowerPoint, Word, Outlook, etc.).
- Heavy international coordination experience: calendar arrangements, dealing with multiple time zones, travel arrangements, and scheduling
Excellent written and verbal communication skills, including experience drafting and editing professional correspondence for internal and external stakeholders- Experience managing confidential and sensitive information with a high degree of discretion and professionalism.
- Experience coordinating travel arrangements, including domestic and international travel.
Attention to detail and accuracy, preparing reports, presentations, and executive documents.

How will you make an impact in this role?
The role will be a key member of Customer Engagement Network (CEN) APAC, Canada & Amex Philippines’ Country Manager’s Office.
