Job Details

  • Work Set Up: On-site training followed by work-from-home
  • Schedule: Monday to Friday | 7:00 AM to 4:00 PM (Perth/Manila time)
  • Holidays Followed: Australian Public Holidays
  • Shutdown Period: December 21, 2025, to January 4, 2026 (Leave required for non-holiday days)

Responsibilities

  • Schedule and coordinate routine maintenance tasks for preventative fire asset services.
  • Support the Maintenance Service Coordinator and Supervisor, providing coverage when they are absent.
  • Collaborate with supervisors, technicians, and apprentices to ensure timely task completion.
  • Manage routine inquiries, emails, issues, and complaints from clients and staff, escalating to the Maintenance Supervisor or Manager when needed.
  • Track and monitor the completion of maintenance tasks to ensure compliance with company standards.
  • Coordinate fire door servicing, manage client bookings, and work with contractors and service providers for repairs.
  • Provide general administrative support, including handling office phone calls and overflow inquiries.
  • Maintain and update routine maintenance site information using the FSS asset software.
  • Ensure client portal information remains accurate and up to date.
  • Collaborate with leadership and other departments to achieve overall service goals.

Qualifications

  • Experience in an administrative or support role, ideally within maintenance or facilities management.
  • Strong organizational and scheduling skills with meticulous attention to detail; scheduling experience is a huge plus.
  • Excellent verbal and written communication abilities for effective client and staff interaction.
  • Ability to work independently and collaboratively in a team environment.
  • Familiarity with asset management software or similar tools is an advantage.
  • Proactive problem-solving attitude and eagerness to learn new systems.
  • Experience in maintenance administration or a related field is desirable.
