- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives.
- Excellent organizational skills, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with LinkedIn.
- Experience managing travel arrangements and event coordination.
- Discretion and professionalism in handling sensitive and confidential information.
- Strong attention to detail and proactive problem-solving skills.
- Ability to adapt quickly in a dynamic environment.
- Exceptional interpersonal skills with a customer service focus.
- Tech-savvy and quick to learn new software applications.
Email And Calendar Management
- Handle daily email correspondence for the CEO and COO, prioritizing messages and ensuring timely responses.
- Organize and maintain the executives’ calendars, coordinating meetings, appointments, and travel arrangements.
- Anticipate and proactively prepare the CEO and COO for upcoming meetings with relevant materials and agendas.
- Oversee general company administration, including management and payment of vehicle registrations, tolls, and fines.
- Support daily office functions, including filing, documentation, and office supply management.
- Develop, format, and update operational documents, policies, and procedures as directed by the CEO and COO.
- Manage the LinkedIn profiles of the CEO and COO, ensuring content remains up-to-date and engaging.
- Coordinate posts, track engagement, and manage professional interactions to support the company’s online presence.
- Arrange and manage business travel for the CEO and COO, ensuring smooth itineraries and cost-effective planning.
- Assist in the planning and coordination of company events, meetings, and external engagements.
- Prepare and review correspondence, reports, and presentations on behalf of the CEO and COO.
- Maintain organized and easily accessible electronic and physical filing systems.
- Support ongoing projects by coordinating tasks, managing deadlines, and tracking progress to ensure deliverables are met.
- Identify opportunities to improve processes and streamline executive support functions, contributing to increased productivity for the CEO and COO.
- Coordinate and facilitate team communications and meetings, including preparing agendas and taking minutes when required.
- Manage confidential and sensitive information with discretion.
- Act as a liaison between the CEO, COO, and other departments or external stakeholders, fostering clear communication.
- Assist with ad hoc projects and duties as assigned to support the smooth operation of the executive office.
