Position Summary

The Practice Assistant Team Leader will report directly to the Regional Team Leader, Practice Services and is responsible for providing a wide range of secretarial, administrative, and ad hoc projects for lawyers and business services professionals within the assigned region. The PA Team Leader should demonstrate flexibility in extending support and assistance through multi-tasking for multiple people and/or initiatives, and proactively contribute to the group/Firm’s success by actively seeking to improve working processes, anticipate needs, and take action accordingly.

The Manila Practice Services team is structured to collaborate and work as a unit alongside the Firm’s Practice Assistants across all global offices to provide a high quality, comprehensive workflow management and organizational service to support stakeholders within the Firm.

The PA Team Leader is responsible for the overall supervision, workflow coordination, and service delivery for the Practice Assistants in assigned region/departments. This role will work closely with the Regional Team Leader, Office Operations Senior Manager and Regional Administrative Managers (where applicable). Provide service and collaborate with lawyers and business services professionals to understand the needs of supporting the Firm, practices, and staff accordingly. Further, this role will guide and develop an assigned PA team to contribute to work continuity, provide insights in improving processes, share information, and problem solve on a regular basis with the aim of delivering exceptional service.

Our Team

The Practice Services team performs a wide range of administrative and legal office procedures such as Calendar Management, Room Reservation, Data Management, Document Processing, Billing & Expense Processing, Phone & Mailbox Coverage, Travel Management, and General Administration to the business services leaders and lawyers of the Firm remotely

Duties And Accountabilities1

Key Responsibilities

  • Communicate regularly with PAs and Regional Team Leader to assess and manage coverage needs, leaves, and backup allocation.
  • Promote continuous improvement by developing streamlined administrative procedures and fostering an inclusive, diverse workforce.
  • Provide real-time feedback and recommended ratings for yearly PA performance reviews; monitor PA performance and conduct regular one-on-one discussions.
  • Oversee workflow within PA teams and regional sections, ensuring alignment with the Service Level Agreement (SLA).
  • Manage the team’s attendance, including breaks and overtime.
  • Collaborate with BSS colleagues to implement new processes and promote a culture of intuitive assistance.
  • Maintain relationships with internal and external stakeholders, delivering service summaries, team utilization, and ad hoc reports.
  • Support team professional development and communicate relevant information on policies and organizational changes.

Relationship Management

  • Exercise sound judgment; seek clarification when needed, and effectively communicate feedback, concerns, issues, and workarounds.
  • Demonstrate meticulous attention to detail and possess a comprehensive understanding of departmental and Firm procedures and resources, consistently upholding and utilizing them.
  • Maintain the highest level of confidentiality regarding all restricted information, matters, issues, and personal effects of all allocations.
  • Cultivate strong relationships with team members and across the Firm, promoting collaboration and mutual respect.
