This position exists to provide crucial executive and operational support to streamline private aviation services and enhance client experience. The role addresses critical business challenges, including managing high-volume requests during off-hours, reducing missed opportunities due to delayed responses, and enabling better work-life balance for the executive team. By managing day-to-day operations, client communications, and administrative tasks, this role allows the executive team to focus on business growth while ensuring seamless service delivery and client satisfaction.

The Impact you’ll make

Executive Support & Client Relations

  • Handle inbound/outbound calls and client inquiries

  • Manage sensitive client information and documentation

  • Coordinate calendar and schedule management

  • Represent the company in virtual meetings

  • Process urgent requests during off-hours when needed


Operations Management

  • Process flight quotes and wire transfers

  • Monitor flight operations in real-time

  • Handle federal excise tax filing

  • Coordinate with vendors and negotiate rates

  • Manage requests across multiple time zones

  • Handle sensitive information (passports, credit cards) securely


Administrative Excellence

  • Manage email correspondence and communications

  • Review and organize contracts

  • Handle confidential documentation

  • Coordinate across multiple time zones

  • Implement security protocols for sensitive data


Digital & Marketing Support

  • Manage social media presence

  • Support email marketing campaigns

  • Assist with basic SEO initiatives

  • Handle customer relationship management

  • Utilize AI tools for enhanced productivity



Skills, Knowledge and Expertise

Required:

  • Experience with the travel/aviation industry

  • Previous customer service or administrative experience

  • Proficiency in Google Workspace

  • Strong organizational and multitasking abilities

  • Professional communication skills

  • Experience handling confidential information securely

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
