Title: Administrative Assistant - Sales Tax Filings Team

Location: 100% Work from home in the Luzon region of the Philippines only

Shift: Flexible late shift - Core working hours from 8:30 PM - 1:30 AM PHT (remaining hours can be completed right before or right after that)

About The Role

TaxValet is looking for an Administrative Assistant to help our Filing team eliminate the hassle and risk of sales tax. You'll be using your project management and attention to detail skills to provide seamless support for the Filings Team.

As the Administrative Assistant at TaxValet, the work you'll do day-to-day will likely change. But at the end of the day, it all comes back to doing what you're great at—providing friendly and effective internal support. Your effective internal support will create more capacity for our TaxValet Filing team so they can stay focused on what they're great at (delivering an incredible sales tax service for our clients).

In time, you'll be the go-to person for many vital processes at TaxValet including: Address change projects, Recurring State Portal and Special Projects Review, and executing various forms necessary for our client work to be completed in a timely manner (such as Power of Attorney forms).

Don't worry—we'll provide training and help along the way. Your attitude and potential is much more important than your current knowledge and experience.

Your Qualifications

  • 2 years minimum of administrative or virtual assistant experience
  • Great English proficiency.
  • Comfortable talking on the phone and through email.
  • Positive references from past supervisors.

  • You have high attention-to-detail and are a perfectionist at heart.
  • Self-starter and shows initiative to get work done even without constant supervision.
  • Excellent at time management. You don't waste time on frivolous activities.
  • Eager to learn new skills and technologies.

Your Primary Responsibilities

  • Provide Comprehensive Administrative Support to the Filings Team. You will provide admin support for the Filings Team with tasks such as:
    • State portal scrub
    • Team updates during client reassignment in our TaxValet's systems
    • Assist on Address Change Projects
    • Creation of various reports from our software to help the Filing Team Leads
  • Assist with Client Offboarding Process. You will support the filing team with offboarding clients from TaxValet by removing the TaxValet information from the client state access to transition the access back to the clients.
  • Provide backup support for Email Ticketing System and Scanned Mail. You will serve as back-up support for the Administrative Assistant to address tickets, emails and scanned mail when they are on vacation, away from the office, or needing assistance for timely mail support.
  • Other Administrative Tasks As Assigned By Your Team Lead.
Specific Measures of Success

No surprises here! After a year on the job, you'll be measured by these specific outcomes:

  • Finding Filings State Notices. 95% of clients with State Notices (such as filing frequency change) are caught before creating a filing issue
  • Completion of Address Change Projects. On average, you'll complete client address change projects within 60 days of STA's assignment, excluding any delays beyond the control of Filings Administrative Assistant.
  • Completion of Offboarding Administrative Tasks. TaxValet mailing and email addresses are updated within 25 days from notification of offboarding.
  • Timely and Accurate Preparation of Monthly Reports. All reports required by Filing Pod Leads are accurately provided and recorded in Pods' L10 monthly scorecard.
  • Timely and Accurate Time Tracking. You will be able to log time tracking of 40 hours each week accurately and timely.
  • Completion of online education and training. You will complete 3 hours per quarter of educational training.
  • Completion of Quarterly Rocks. All rocks have at least an 80% completion rate for the year.
