Job Summary:

We are seeking a dedicated Onboarding Specialist with a strong background in USA Staffing, HR, recruitment, account coordination, or client account management. This role is essential for ensuring the smooth onboarding, management, and ongoing support of contractors across various levels, from junior positions to senior, highly compensated roles. The ideal candidate will be an excellent communicator, highly organized, and adept at managing diverse interactions with a strong understanding of labor laws and organizational culture differences.

Key Responsibilities:

  • Manage the end-to-end onboarding process for contractors, ensuring that all required documentation and credentials are collected, verified, and compliant with organizational standards and labor laws.
  • Serve as the primary point of contact for contractors, providing clear and professional communication both in writing and verbally. Interact with a diverse range of staff, from junior call center and light industrial roles to senior, highly compensated contractors.
  • Utilize excellent organizational and prioritization skills to manage multiple tasks and responsibilities efficiently. Maintain accurate records and ensure timely processing of all contractor-related documentation.
  • Apply common-sense problem-solving skills to address and resolve issues that may arise during the contractor lifecycle. Maintain a sense of urgency and work well under pressure to ensure seamless operations.
  • Utilize MS Office Suite, particularly Excel and Outlook, to manage data and communications effectively. Experience with VMS tools such as Beeline, Fieldglass, or other similar systems is a plus.
  • Ensure adherence to labor and employment laws. Maintain up-to-date knowledge of relevant regulations and best practices.
  • Exhibit strong client interface skills with an awareness of organizational culture differences. Provide exceptional service and support to contractors and internal stakeholders, adapting to diverse workplace dynamics.

Required Qualifications:

  • Relevant experience in USA Staffing, HR, recruitment, account coordination, or client account management roles.
  • Proven ability to communicate effectively in both written and verbal formats. Comfortably interact with staff at all levels, from junior to senior positions.
  • Demonstrated excellence in organizational and prioritization abilities. Strong attention to detail and capability to manage multiple tasks under pressure.
  • Working knowledge of MS Office Suite, especially Excel and Outlook. Experience with VMS tools like Beeline or Fieldglass is advantageous.
  • A strong “people person” with a demonstrated ability to build and maintain positive relationships with contractors and internal teams.
  • Experience handling contractual matters and serving as a point of contact (POC) for contractual issues.
  • Amenable to work 100% onsite and EST Time zone
